1. Scope of Terms and Acceptance

These General Terms and Conditions apply to all bookings with Green Escape Oy (Business ID:3014653-7). By booking a trip, you accept these terms and conditions, which comply with Finnish consumer laws and regulations as advised by the Finnish Consumer Authority (KKV). Our services are insured under corporate liability insurance to ensure compliance and customer protection.

2. Booking and Payment Terms

To confirm your tour, a non-refundable deposit of 30% of the total cost is required for custom trips. During high seasons (such as 15.11 – 15.03), a 100% prepayment may be necessary, which will be specified in the “Know Before You Book” section. Final payment invoices are due at least 60 days before the trip commencement, unless otherwise noted on your confirmation invoice. Failure to remit payments on time may result in cancellation of your booking, forfeiture of the deposit, and application of cancellation charges.

3. Cancellation Policy

For Non-Peak Seasons:

  • 92 days before arrival: Free of charge.
  • 90 to 60 days before arrival: 30% of the tour cost.
  • 30 to 60 days before arrival: 50% of the tour cost.
  • Less than 30 days before arrival or No Show: 100% of the tour cost.

For Peak Season (01.12 – 15.03):

  • Accommodations and services are non-refundable and non-rebookable once booked.

Other Terms:

  • All cancellations must be submitted in writing and are only considered effective upon receipt by Green Escape Oy.
  • In case of force majeure (e.g., natural disasters, strikes, or political unrest), neither party is liable for loss or damages. Both parties will suspend obligations under the contract and minimize impact as much as possible.

4. Refunds, Rescheduling, and Credit Notes

Refunds and rescheduling are assessed based on official restrictions from relevant authorities. A €50 administrative fee per person applies to all cancellations. Travel restrictions due to COVID-19 are non-refundable; however, a 12-month redeemable credit note equivalent to your payment will be issued in case of government-issued travel restrictions. Unused services, including missed activities or tours due to late arrival or no-show, are non-refundable.

5. Amendments to Bookings

Amendments to confirmed bookings are subject to availability. Green Escape Oy reserves the right to assess feasibility and provide additional cost details. During peak season, amendments may not be possible due to high demand and third-party restrictions.

6. Travel Insurance

Green Escape Oy strongly recommends all clients obtain comprehensive travel insurance, covering cancellations, medical emergencies, accidents, and lost luggage. Green Escape Oy cannot be held liable for any personal injury, loss, or cancellation costs arising from unforeseen events.

7. Passport, Visa, Customs, and Health Regulations

Clients are responsible for securing all required travel documents (passports, visas, vaccinations, etc.). Green Escape Oy advises that non-EU clients apply for necessary visas 3 to 6 months before their travel date. Visa issuance is at the discretion of relevant authorities; Green Escape Oy is not responsible for visa denials.

8. Liability and Responsibility

Green Escape Oy carefully selects providers for each component of our tours. We are not liable for:

  • Injury or material damage incurred during activities, which are subcontracted to reputable providers.
  • Missed or delayed flights and subsequent missed tour activities.
  • Injuries or health issues related to participation in adventure activities (such as husky sledding or snowmobiling). Participation is voluntary, and clients should consult medical advice if concerned about their health suitability.

9. Activities and Event Policies

Certain activities, such as Northern Lights tours, are natural phenomenon-based and not guaranteed. If conditions prevent viewing, this does not warrant compensation. Late arrivals for scheduled activities will incur a 100% cancellation fee, or a 10% delay fee per 30 minutes if rescheduling is possible. No refunds are issued for unused services, missed events, or activities booked independently outside of Green Escape Oy’s offerings.

10. Force Majeure and Cancellation by Green Escape Oy

In case of force majeure, Green Escape Oy reserves the right to cancel the reservation. In such cases, clients are entitled to a full refund. Group tours are subject to minimum participant requirements; should these not be met, Green Escape Oy will notify clients at least 60 days in advance, and deposits will be fully refunded.

11. Customer Liability

By booking with Green Escape Oy, the customer acknowledges:

  • They are responsible for assessing risks associated with activities.
  • Green Escape Oy cannot be held responsible for incidents due to a customer’s medical or physical conditions.
  • The customer must take necessary precautions regarding health and safety, including having adequate insurance coverage.

12. Data Protection

Client data is handled in compliance with Finland’s General Data Protection Regulation (GDPR) to ensure privacy and security.
